Beyond the AI receptionist

Things I build.

The AI receptionist is the one thing I've built and put live. It's not the whole business, it's the proof of what a build looks like. Below are eight more, described for the kind of business each fits.

Free walkthrough Fixed price, quoted up front You own what gets built
On the record

These are builds I offer, not case studies. I haven't built any of these yet for a real client, I don't have a client list in these industries, and I'm not going to pretend otherwise. Each one below is described for the kind of business it fits, in the kind of language an owner in that business would use, so you can see whether your version of the same problem is on here.

Your version starts the same way every build does: a free walkthrough where I look at how the work actually happens before either of us decides anything.

01

Find the version of this that looks like your week.

Every row below follows the same shape: the manual loop an owner is stuck running, and what a build would do instead. A person still reviews anything that leaves the building, that part never changes.

A build I offer for a CPA or accounting firm

Smaller build
Before

Somebody on staff keeps a running list of which clients still owe their bank recs, fixed asset schedule, and 1099s, and works through it by phone and email, one client at a time, all through tax season.

After

The system tracks each client's open-items list and sends the reminders itself, a little firmer as the deadline gets closer, stopping the moment the file comes in. It pulls a person in only when someone's gone quiet twice.

Best for: firms with a client portal already in place. The chasing is the gap, not the storage. Book a free walkthrough for this →

A build I offer for a wholesale roaster or producer

Smaller build
Before

Every Monday morning someone scans the wholesale account list by hand to see who hasn't placed their weekly order before the cutoff, then calls or emails each one before delivery slides to next week.

After

The system checks Monday morning who hasn't ordered and sends the reminder itself. The "can you squeeze me in" replies route to a person, the routine ones don't need one.

Best for: any business running a recurring order cycle with a hard weekly cutoff. Book a free walkthrough for this →

A build I offer for a property manager

Bigger build
Before

Maintenance requests land in the portal at all hours, and someone still has to read every single one, decide if it's a real emergency, and answer "is anyone coming today" whether it's 2pm or 9pm.

After

The system triages each request, answers routine status questions from the record on its own, and only wakes a person up for the ones that are genuinely urgent.

Best for: managers already running a portal or a booking platform. The gap is after-hours triage, not the portal itself. Book a free walkthrough for this →

A build I offer for a caterer or event venue

Smaller build
Before

Every inquiry, corporate lunch, wedding, private party, lands in the same contact form, and the owner sits down at night to write each proposal by hand against the menu and per-head pricing.

After

The system drafts the proposal from the inquiry and the real menu and pricing. The owner still reviews and sends every one, nothing goes out or gets quoted on its own.

Best for: caterers and venues writing custom proposals from a standard menu. Book a free walkthrough for this →

A build I offer for a title or settlement company

Smaller build
Before

Every file means the same document chase against realtors, lenders and attorneys, and in the week before closing someone is calling around asking who hasn't sent theirs back yet, against a date that can't move.

After

The system tracks what's outstanding against the closing date and sends the reminders itself, getting firmer as the date approaches, and stops the moment the document lands.

Best for: any file-based business chasing the same document types on a deadline. Book a free walkthrough for this →

A build I offer for a print shop

Smaller build
Before

Every quote request is the same handful of variables, quantity, stock, size, color, finishing, turnaround, worked out by hand from the rate sheet, and then someone spends the afternoon asking whether anyone's looked at the proof yet.

After

The system drafts the quote from the request against the real rate sheet and chases proof approval automatically until the customer confirms. A person still checks the number before it goes out.

Best for: shops with a written rate structure and a proof-approval step before anything runs. Book a free walkthrough for this →

A build I offer for an HOA or condo association manager

Bigger build
Before

The same twenty questions land on the office every day, across every community managed: dues balances, pool keys, architectural requests, when's trash day, each with a slightly different answer depending on that community's own rules.

After

The system answers each question from that community's own governing documents, and routes anything it isn't sure about straight to a manager instead of guessing.

Best for: firms managing several communities where the answer changes by property. Book a free walkthrough for this →

A build I offer for a commercial cleaning or facilities company

Smaller build
Before

Every quote request means walking the building, working out square footage, and writing a proposal against the standard scope by hand, one building at a time.

After

The system drafts the proposal from the request and the real rate card. The owner still reviews and approves every quote before it goes out.

Best for: contract-account businesses quoting from a repeatable scope and rate structure. Book a free walkthrough for this →
Don't see your business on here?

This list is eight examples, not the whole menu. If your business runs on some version of "the same request, the same document, the same question, over and over," it's very likely a fit even if the label doesn't match. Tell me what actually eats your week and I'll tell you straight whether AI is the right answer for it.

02

The one build that's actually live.

Everything above is an offer. The AI receptionist is the one exception, it's built, it's running, and you can talk to it right now. Texting it reaches the AI demo. Calling reaches me directly.

Tell me what eats your week. I'll tell you if it's worth building.
